Are you passionate about creating seamless and unforgettable event experiences? RACV is looking for a detail-oriented and customer-focused Conference & Events Coordinator to join our team and help deliver exceptional service across a wide range of conferences, meetings, and special events.

 

About the Role
As the Conference & Events Coordinator, you’ll be the key contact for clients from initial enquiry through to post-event follow-up. You’ll manage bookings, coordinate logistics, and ensure every detail is executed to perfection. Working closely with internal departments, you’ll help deliver events that exceed expectations and drive business growth.

 

Key Responsibilities

  • Coordinate all aspects of conference and event bookings, including accommodation, dining, and venue setup.

  • Prepare accurate quotes, booking agreements, and invoices in line with RACV policies.

  • Liaise with clients to understand event requirements and provide expert guidance.

  • Create and distribute detailed Event Orders and updates to internal teams.

  • Maintain strong client relationships before, during, and after events.

  • Collaborate with internal departments to ensure smooth event delivery.

  • Attend weekly operations and sales meetings to communicate event details.

  • Ensure compliance with RACV service standards, policies, and procedures.

 

This role is a permanent full-time position, during the day to work in with event planning and customer enquiries. Some nights and weekends are required occasionally for this role depending on business requirements.

 We’re looking for…

  • Previous experience with administration and supplier liaison desirable

  • An understanding of hospitality industry in event, membership or accommodation areas

  • An interest in the world of events

  • Knowledge of Microsoft Office Suite and Opera desirable

  • Effective customer management and service standards

  • A team player who displays initiative and a positive mindset

  • High quality of work and attention to detail
