About the Opportunity 

 

An exciting opportunity has arisen for a Kitchen, Food & Beverage Administrator, to provide essential administrative and operational support to the Executive Chef and the wider kitchen team. As a people-focused administrator, this key role ensures clear, accurate and timely communication across departments, while supporting staff and guests with food & beverage‑related information and processes.

In a fast paced hotel environment, the Kitchen, Food & Beverage Administrator is central to ensuring smooth day‑to‑day operations, clear cross‑department communication, effective workforce coordination and strong compliance with safety, training and operational standards. Reporting to the Executive Chef, your key responsibilities will include:

 

  • Provide administrative support, including documentation management, ordering, auditing, recipe card updates, SOPs and database maintenance
  • Process invoices, month‑end accruals and reconcile Food & Beverage promotional and band promotion accounts
  • Support workforce planning by managing inductions, employment lifecycle tasks, manning levels, uniforms, lockers and assisting with outlet rostering in Kronos
  • Coordinate new starters by working closely with People, Culture & Safety to ensure first‑day readiness and ongoing support
  • Manage vendor onboarding, stationery ordering, WHS entries and maintenance requests
  • Coordinate work experience students and chef apprentices, including TAFE training enrolments
  • Promote a safe workplace by supporting health and safety initiatives, incident investigations and return‑to‑work programs

 

What you’ll need to be successful 

 

  • Demonstrated administration experience, ideally within a hospitality, hotel or a similar environment
  • Proficient and confident in MS Office applications, and system capability using rostering (UKG), HR (SAP), finance (SAP),PMS (Opera) and HSW (Donsafe) systems
  • Confident communicator with the ability to liaise across multiple departments and stakeholder groups
  • Excellent organisational skills and attention to detail
  • Efficiently manage multiple priorities and deadlines
  • A collaborative approach with a genuine interest in supporting people and team development
  • Available to work Monday, Wednesday & Thursday 7.6 hr shift between 8am-5pm, with capacity to wok Tuesday & Friday when business demands require
