We’re excited to offer a 12‑month contract opportunity for a Conference and Events Coordinator to help bring our clients’ events to life.
The Role
In this dynamic position, you’ll play a central part in planning and delivering events — from coordinating meetings and conferences to curating special dining experiences and managing group accommodation bookings. Working closely with clients and internal teams, you’ll ensure every detail is executed flawlessly, guiding each event from the initial enquiry right through to post‑event follow‑up.

This opportunity is a 12‑month maternity leave cover.
What You’ll Do – Reporting to the Conference & Events Sales Manager:
· Coordinate and manage conferences and events, from intimate board meetings to large group gatherings
· Prepare accurate quotes, booking contracts, event orders, and invoicing
· Liaise with clients to understand their needs and guide them through the planning process
· Work with internal teams across food & beverage, AV, housekeeping, front office and operations to bring each event to life
· Attend operations and sales meetings to ensure flawless delivery
· Provide on-site support and build strong relationships with clients for repeat business
· Contribute to a positive team environment and uphold RACV’s high standards of service
What We’re Looking For
· Proven experience in event coordination, hospitality, or hotel/resort operations
· Strong understanding of food and beverage operations and the business events industry
· Ability to manage multiple events and priorities in a fast-paced environment
· Exceptional organisational, time management, and multitasking skills
· High attention to detail and strong problem-solving skills
· Excellent written and verbal communication, negotiation, and active listening skills
· Confident working independently or collaboratively within a team
· Flexibility to adapt to changing business needs, including availability for occasional evenings or weekends
· Strong computer proficiency, including MS Office and Outlook; knowledge of OPERA or other CRM systems (desirable)
· Tertiary qualifications in Hospitality, Tourism, or Events Management (desirable)
· Professional personal presentation and a positive, proactive attitude
